Vigital Solutions develops business systems for companies and government agencies across Malaysia. Whether you need an inventory system, an HR and claims system, a booking platform or a full management system that connects every department, we design and build it around how your organisation actually works.
We’re a system development company based in Petaling Jaya, Selangor, serving clients in Kuala Lumpur, the Klang Valley and throughout Malaysia.
What is system development?
System development is the process of planning, designing, building, testing and maintaining a software system that supports a specific business function. Unlike buying an off-the-shelf package, a custom-developed system is shaped around your processes, your data and your users.
A typical system includes:
- A database that holds your records (customers, stock, staff, transactions, assets, locations)
- Business logic that enforces your rules (approval flows, pricing, stock levels, permissions)
- User interfaces for staff, managers and sometimes customers, usually web-based and mobile-friendly
- Reports and dashboards so management can see what’s happening without asking for spreadsheets
- Integrations with the tools you already use, such as accounting software, payment gateways, email/WhatsApp or government systems
Systems we develop
Management & operations systems
Central systems for day-to-day operations: job tracking, work orders, approvals, document management and task assignment. Replace scattered spreadsheets with one source of truth.
Inventory & warehouse systems
Stock in/out, multi-location inventory, barcode/QR scanning, reorder alerts and stock movement reports.
HR, leave & claims systems
Staff records, leave applications, claims submission and approval, with role-based access for staff, supervisors and HR.
Booking & scheduling systems
Online booking for appointments, rooms, vehicles or services, with calendars, reminders and payment integration.
Customer & member portals
Secure logins where customers or members can view their records, submit requests, download documents and track status.
Reporting & monitoring dashboards
Real-time dashboards that pull data from your systems into clear charts and KPIs, including map-based dashboards through our GIS & Web GIS development service.
Enterprise & multi-department systems
When several departments need to share data, we build integrated platforms. See business & enterprise software.
Signs you need a custom system
- Your team spends hours each week copying data between spreadsheets, forms and chat groups
- Management can’t get an up-to-date report without asking someone to compile it
- Different departments keep their own versions of the same data, and they don’t match
- Off-the-shelf software forces workarounds, or charges per user for features you don’t need
- Errors and delays come from manual steps that could be automated
- You’re growing and the current way of working won’t scale

If two or more of these sound familiar, a properly developed system will usually pay for itself in time saved and mistakes avoided.
Our system development process
- Discovery & requirements. We interview the people who will use the system, map your current workflow and identify what should be automated.
- System design. Database structure, user roles, screen flows and integration points, documented and agreed before development starts.
- UI/UX design. Clickable screen designs so your team can see how the system will look and work.
- Development in phases. We build the most important modules first and demo regularly, so you can give feedback early and start using the system sooner.
- Testing. Functional testing, user acceptance testing with your team, and fixing issues before go-live.
- Deployment & data migration. We move your existing data into the new system and set up hosting (cloud or your own server).
- Training & handover. User guides and training sessions for staff and administrators.
- Maintenance & support. Bug fixes, security updates and new features as your needs change.
Web-based, mobile, or both?
Most business systems we build are web-based, so staff can use them from any browser without installing anything, and updates reach everyone instantly. When field staff or customers need offline access, camera/QR scanning or push notifications, we add a companion mobile app for Android and iOS. Why choose Vigital Solutions for system development
- Experience in private and public sectors. We’ve built custom systems for a higher education institution, web-based GIS and monitoring dashboards for government agencies, and apps and websites for finance, retail and corporate gifting clients. See case studies.
- One team, end to end. Requirements, design, development, integration, hosting and support under one roof.
- Phased delivery to fit your budget. Start with the core module and expand over time instead of paying for everything upfront.
- You own your system. Clear documentation and handover, so you aren’t locked in.
- Local support. Based in Damansara Perdana, Petaling Jaya, reachable by phone, WhatsApp and email.
Case study: custom file portal for a university
A higher education institution needed staff and students to access their network home directories through a web browser, without replacing existing infrastructure. We developed a responsive, HTML5 web-based portal with drag-and-drop upload and download, giving the university a modern self-service system that works on top of what it already had.
Frequently asked questions about system development
How much does system development cost in Malaysia?
Cost depends mainly on the number of modules, user roles, integrations and whether you need a mobile app. A focused single-purpose system costs much less than an integrated multi-department platform. After a free consultation we provide an itemised quotation. See our software development cost guide for what affects pricing.
How long does it take to develop a system?
A focused system with one or two modules can often be delivered in a couple of months. Larger platforms are delivered in phases over several months, with usable modules released along the way.
Should I buy off-the-shelf software or develop a custom system?
If a ready-made product fits 90% of your process at a reasonable price, buy it. If you’re working around it every day, paying for many unused features, or need it to connect with other systems, custom development is usually the better long-term investment. We’ll tell you honestly which makes sense.
Can you integrate the new system with our existing software?
Yes. We regularly integrate with accounting software, payment gateways, email and messaging services, and existing databases through APIs or data imports.
Where will the system be hosted?
We can host on a cloud provider or on your own servers, depending on your security, compliance and budget requirements.
Is our data safe?
We build with role-based access, encrypted connections (HTTPS), secure password handling and regular backups, and we design systems with Malaysia’s Personal Data Protection Act (PDPA) in mind.
Do you provide support after the system goes live?
Yes. We offer maintenance and support packages covering bug fixes, security updates, backups and enhancements.
